A free email signature generator built for real inboxes
This free email signature generator builds a clean, clickable HTML signature that pastes straight into Gmail, Outlook, Apple Mail, Thunderbird and Yahoo. Pick from 11 templates, upload a headshot or logo, add social links by handle, then check the result against a signature health score before you copy it. It also creates signatures for an entire team from a spreadsheet. Everything runs in your browser, so your details are never uploaded.
Most signature makers hand you a pretty preview and a broken paste. This one is built around what actually happens in a mail client. Signatures are generated as table-based HTML with inline styles, which is the format Gmail, Outlook and Apple Mail render reliably. Buttons and social badges are built from table cells with background colors instead of CSS tricks, so they survive Outlook's Word-based rendering engine. You can preview the result in a Gmail, Outlook or Apple Mail frame, switch between desktop and mobile width, simulate dark mode, and run the health check before you paste anything. There is no account, no watermark and no branding added to your signature.

Pick a template
Open the Templates panel and choose a layout. Every card previews your own name, title and colors, so you see the final look before committing.

Upload a headshot or logo (it is resized for you) or paste an https image link. Add a call-to-action button, a banner and a disclaimer if you need them.
4
Match your brand

5
Check the health score
Review the signature health panel for contrast problems, missing links, embedded images and the Gmail 10,000 character limit.

Detailed guide
Choose from 11 email signature templates
Each template is a different layout rather than a recolor. Modern puts your photo on the left with a divider, Classic uses an accent rule, Compact squeezes everything into a few lines for quick replies, Corporate leads with the company logo, Creative uses a tinted card, Minimal is two clean lines of text, Centered suits badge-style layouts, Bold header adds a colored name band, Split moves the photo to the right, Sidebar uses a solid color panel and Two column separates identity from contact details. The gallery renders every template with your own details, so you compare real results instead of stock screenshots.

Photos, logos and banners that actually show up
You can upload a headshot, logo or promo banner, or paste a link. Uploaded images are cropped or resized in your browser and embedded in the signature, which works well in Outlook and Apple Mail. Gmail, however, does not display embedded images in signatures, so for Gmail host the image at a public https link (your website, a CDN or an image host) and paste that URL instead. The health check tells you when an image is embedded or uses insecure http. If you have no photo, switch on the initials badge and the signature shows your initials in your brand color. Upload images at about twice the display size so they stay sharp on high-resolution screens.
Add LinkedIn, X, Instagram, Facebook, YouTube, GitHub, WhatsApp, TikTok, Telegram, Behance, Dribbble, Medium, Pinterest, Threads or a custom link. Type a handle like @yourname and the correct profile URL is built for you; a WhatsApp number becomes a wa.me chat link. Show them as square, rounded or round badges, as labeled pills or as plain text links, in each network's brand color, your own brand color or a neutral dark. Because the badges use short text instead of image icons, they never get blocked or turn into broken pictures, which is the most common reason signature icons disappear in recipients' inboxes.
Add a call-to-action button and legal disclaimer
A signature appears on every email you send, which makes it useful space for one clear action: book a call, view your portfolio, download a brochure. Add a button label and link and pick a solid, outline or plain link style. The button text color is chosen automatically for readable contrast against your brand color. For legal text, start from a confidentiality, GDPR, environmental or virus-free preset and edit it, then keep it short because long disclaimers are rarely read and push the signature past Gmail's size limit.
Signature health check before you paste
The health panel scores your signature out of 100 and lists what to fix. It flags invalid email addresses and short phone numbers, text and brand colors with too little contrast on white, embedded or http images, a banner without a link, a button without a URL and too many social links. It also counts the characters of HTML against Gmail's 10,000 character signature limit, which is the usual cause of a signature that refuses to save or loses its formatting.
Check
Why it matters
Contrast against white
Faint text is hard to read and fails accessibility guidance (4.5:1 for body text)
Gmail 10,000 character limit
Larger signatures cannot be saved in Gmail
Embedded images
Gmail strips them; host the image online instead
http:// image links
Many clients block insecure images by default
Email and phone format
Typos here break the one thing the signature is for
Banner and button links
Clicks are the point of a banner or button
Team and bulk signatures from a spreadsheet
Rolling out signatures to a whole company usually means copying one template by hand for every person. Team mode removes that. Paste a spreadsheet with a header row (name, title, department, email, phone, mobile and any social columns) and every person gets a signature that inherits your template, colors, logo, banner and disclaimer. Copy each one, download them individually, download all of them in a single HTML file, or export a CSV that includes a ready-made HTML column for importing into an admin console or mail merge.
How to add your signature to Gmail, Outlook and Apple Mail
Click Copy signature, then open your mail settings. In Gmail, go to Settings, See all settings, General, then Signature, create a new signature and paste it. In Outlook for Windows, open File, Options, Mail, Signatures, then New and paste. In Outlook on the web, open Settings, Accounts, Signatures. In Apple Mail, open Settings, Signatures, add one, untick Always match my default message font and paste. The Install guides tab lists exact steps for each client, plus Thunderbird, Yahoo and mobile apps. If formatting looks wrong after pasting, paste again or use Copy HTML in apps that accept HTML source.

Email signature best practices
Keep it short: name, role, company and one or two ways to reach you. Use one font and two or three colors, and stay with web-safe fonts such as Arial, Georgia or Verdana because custom fonts fall back to defaults on most recipients' machines. Limit social links to the networks you actually use for work, keep the whole signature narrower than about 500 pixels so it fits on phones, and avoid large images. Skip inspirational quotes and long legal text unless required. Review the signature on mobile width in the preview, and re-run the health check whenever you change the logo, banner or disclaimer.
The signature is generated entirely in your browser. Your name, phone number, email, photos and links are never sent to a server. Your work is saved in your browser's local storage so you can come back to it, and you can save several signatures, duplicate one for a colleague, and export or import them as JSON files. Clear your browser data to remove everything.
Frequently asked questions
How do I add this signature to Gmail?
Click Copy signature, then in Gmail go to Settings (gear icon), See all settings, General, Signature. Create a new signature, paste (Ctrl/Cmd+V) into the box, choose it as the default for new emails and replies, and click Save Changes at the bottom. Use hosted https image links for your photo and logo, because Gmail does not display embedded images.
How do I add it to Outlook?
Copy the signature, then in Outlook for Windows go to File, Options, Mail, Signatures. On Outlook for the web go to Settings, Accounts, Signatures. Create a new signature, paste it in, and set it as the default for new messages and replies.
How do I add it to Apple Mail?
Copy the signature, open Mail, Settings, Signatures and click + to add one. Untick Always match my default message font so the formatting is kept, then paste into the right-hand box and select the signature for your account.
Why is my photo or logo not showing in Gmail?
Gmail only shows images that are hosted at a public https address. Images uploaded in this tool are embedded in the signature, which works in Outlook and Apple Mail but not Gmail. Upload the file to your website or an image host and paste the link into the photo or logo field. The health check warns you when an image is embedded.
Why won't my signature save in Gmail?
Gmail limits signatures to 10,000 characters including the HTML. The signature health panel shows your current size. To shrink it, remove the disclaimer, the banner or some social links, or choose a more compact template.
Will the links and buttons be clickable?
Yes. Phone numbers open the dialer, email addresses open a new message, the website, social badges, banner and button are real links, and the address opens in Google Maps. Social badges use short text instead of image icons, so they cannot be blocked as images.
Can I make signatures for my whole team?
Yes. Open the Team / bulk tab and paste a spreadsheet with a header row of name, title, email and other columns. Each person inherits your template, colors, logo, banner and disclaimer. You can copy each signature, download them all as one HTML file, or export a CSV with a ready-made HTML column.
Does it work on mobile and in dark mode?
The preview can switch to a phone-width view and a dark mode simulation so you can check both. Signatures are built with simple tables and web-safe fonts, which keeps them readable on phones. Dark mode behaviour differs between mail apps, so keep your text and brand colors high contrast.
Can I save my signature and edit it later?
Yes. Your work is saved automatically in your browser, and you can keep several signatures, duplicate one, and use undo and redo. You can also export a signature as a JSON file and import it on another device.
Is the email signature generator really free with no watermark?
Yes. There is no signup, no limit and no branding added to your signature. Everything is generated locally in your browser, so your contact details are never uploaded or stored on a server.
How do I create a professional email signature for Gmail or Outlook?
Pick a template, enter your name, title, company and contact details, add a photo or logo and a few social links, choose your brand color, then click Copy signature and paste it into your mail settings. Keep it short, use web-safe fonts and run the health check before you copy.
Is it really free with no watermark?
Yes. The generated signature is clean, with no added branding or watermark.
