How to use

How to use Invoice Generator

  1. 01

Add your business and client details

Enter your company name, tax/VAT ID and address, then the client's details. Upload a logo and pick a brand accent colour that carries through to the PDF.

  2. 02

    Itemize the work

List each service or product with a quantity and rate. Line totals and the subtotal update live as you type — add as many rows as you need.

  3. 03

    Set terms, tax and adjustments

Choose payment terms (Due on Receipt, Net 15/30/60) to auto-set the due date, pick a currency, then add a tax rate, a percentage or fixed discount, and shipping if it applies.

  4. 04

    Record any part-payment

Enter an amount already paid and the invoice shows a clear balance due — ideal for deposits, milestones and retainers.

  5. 05

    Download or print

Export a professional PDF with no watermark, or print directly. Your draft auto-saves in the browser so you can pick it up later.

Overview

Everything a professional invoice needs

A payable invoice includes a unique number, your and the client's details, an itemized list, clear subtotal-tax-total math, payment terms and a due date. This generator prompts for each so nothing gets left off — and adds the extras that get you paid faster, like a brand accent colour, a payment link or QR code, and a visible balance due after any deposit.

Tax, discounts and part-payments done right

Set a tax rate and the tool computes the tax amount and gross total automatically, eliminating the arithmetic errors that make invoices look unprofessional. Discounts can be a percentage or a fixed amount, shipping is a separate line, and an 'amount paid' field produces a running balance due — so deposits, retainers and milestone billing are handled cleanly on one document.

Your billing data stays private

Client names, addresses and amounts are sensitive. Because the invoice is built, saved and exported entirely in your browser — with drafts stored only in your own device's local storage — none of that information is uploaded or retained on a server. That's a meaningful advantage over account-based invoicing apps that store your client list in the cloud.

FAQ

Frequently asked questions

How do I create a professional invoice online for free?+

Fill in your business name, client details, service items with prices, and tax rate. Upload your logo, and click 'Download PDF'. A professionally formatted invoice downloads instantly — no account needed.

What information should I include on an invoice?+

A professional invoice should include: your business name and contact details, client name and address, invoice number, issue date and due date, itemized list of services/products with prices, subtotal, taxes (if applicable), total amount due, and payment terms.

How do I add tax to my invoice?+

Enter your tax rate (e.g., 8% sales tax, 20% VAT) in the tax field. The calculator automatically computes the tax amount and adds it to the subtotal to show the final total due.

Can I create invoices in different currencies?+

Yes. Select your currency symbol (USD, EUR, GBP, INR, AUD, etc.) from the dropdown. The invoice will display all amounts in your chosen currency.

Is my client data stored when I create an invoice?+

No. All invoice data is processed locally in your browser and exported directly to PDF. We never see or store your client names, addresses, pricing, or any other invoice details.

How do I add multiple line items to my invoice?+

Click 'Add Line Item' to add rows. Each row has fields for description, quantity, unit price, and automatically calculates the line total. Add as many items as needed.

How do I set a due date and payment terms?+

Pick a term — Due on Receipt, Net 7, Net 15, Net 30, Net 45 or Net 60 — and the due date is calculated automatically from your issue date. Both the term and the due date appear on the invoice so the client knows exactly when payment is expected.

Can I show a deposit or partial payment on the invoice?+

Yes. Enter an amount already paid and the invoice displays a clear Balance Due below the total. It's ideal for deposits, milestone billing and retainers where the client has paid part of the amount up front.

Can I change the invoice colour to match my brand?+

Yes. Pick a brand accent colour and it applies to the document badge, section headings, the totals bar and the PDF — giving each invoice a consistent, branded look without any design work.

Will my invoice be saved if I close the tab?+

Your draft auto-saves to your browser's local storage, so it's still there when you return on the same device and browser. Nothing is uploaded — clearing your browser data or using the Reset button removes it.

Is my client data stored anywhere?+

No. Everything is processed in your browser and nothing is saved after you close the page.

Can I invoice in different currencies?+

Yes — choose the currency symbol that matches the client, and totals format accordingly.
